Requesting deletion of your data

Smart Law Tech Pty Ltd (ABN 39 670 227 540) builds practice management software used by law firms. This page explains how to ask us to delete personal information about you, including information we received from a Facebook or Instagram lead form.
How to make a request
Email info@smartlawtech.com.au with the subject line Data deletion request, and include as much of the following as you can:
- your full name;
- the email address and/or mobile number you used when you made contact;
- the law firm you contacted, or the Facebook or Instagram page whose advertisement you responded to, if you remember it;
- roughly when you made contact; and
- whether you want everything deleted, or only particular information.
We ask for these details only so we can find the right records and be confident we are acting for the right person. We may need to ask one or two follow-up questions to confirm your identity before we delete anything — deleting the wrong person's records is its own harm.
What happens next
- We will acknowledge your request within 7 days.
- We will complete it within 30 days, and tell you what was deleted.
- If the information sits in a law firm's workspace, we will pass your request to that firm and tell you we have done so, because the firm — not us — decides what happens to its own client records.
- If we cannot delete something, we will tell you plainly what it is and why.
Facebook and Instagram lead forms
If you filled in an enquiry form on a Facebook or Instagram advertisement, the answers you gave were sent to us by Meta and delivered into that law firm's workspace. That is the only thing we do with them: we do not use them for our own advertising, we do not sell them, and we do not share them with anyone other than the firm you were contacting.
To have that information deleted, email us as described above. It helps if you mention the advertisement or the page, so we can find the right enquiry.
You can also remove our app's access to your Facebook account at any time, separately from this request: open Facebook and go to Settings & Privacy → Settings → Apps and Websites, then remove the app. Doing that stops any further information reaching us, but it does not delete what we already hold — for that, please email us.
When we cannot delete everything
We would rather say this plainly than surprise you later.
- Law firms must keep records. If you became a client of a firm, that firm is generally required by law and by its professional obligations to retain its file for a number of years. Neither the firm nor we can delete those records on request during that period.
- Backups expire on their own cycle. When we delete information from the live system it may remain in encrypted backups for a short period until those backups are overwritten in the ordinary course. It is not restored or used in the meantime.
- Some records are required for legal or accounting reasons, and we keep only what we must, for only as long as we must.
Where we cannot delete something, we will tell you which of the above applies.
For law firms using our software
If you are a customer rather than a member of the public, you can ask us at any time to export or delete your firm's data. Email info@smartlawtech.com.au from an address we hold for your firm. Disconnecting a third-party account — Meta, Google or Microsoft — from within the software stops our access to it immediately, and you can do that yourself without contacting us.
Complaints
If you are not satisfied with how we handle your request, please tell us and we will look at it again. You may also complain to the Office of the Australian Information Commissioner at oaic.gov.au.
